As an American Camp Association (ACA) accredited organization, we maintain strict privacy and data protection protocols across all our physical programs and digital platforms.

We collect personal information necessary to deliver safe camp programs, process registrations, accept donations, and communicate effectively with our community:

  • Camper & Family Data: Parent/guardian names, camper names, ages, dates of birth, contact details, emergency contacts, medical histories, dietary restrictions, and authorized pickup individuals collected via our registration portals (such as CampBrain).
  • Form Inquiries: Information submitted via contact forms, early access priority lists, or newsletter signups.
  • Donor & Volunteer Information: Mailing addresses, donation history, and contact preferences. Payment processing details are handled securely by PCI-compliant third-party providers; full credit card numbers are never stored on Hiram House servers.

2. Children’s Privacy & Confidentiality

Protecting the privacy of children is paramount. We comply fully with the Children’s Online Privacy Protection Act (COPPA). We do not knowingly collect personal information directly from children under 13 without verifiable parent or legal guardian consent.

Cabin Privacy Policy: To protect all campers and staff, family contact information, medical backgrounds, and cabin assignments are strictly confidential. Individual camper details are never shared with other families before, during, or after camp sessions.

3. How We Use Your Information

Information collected is used strictly for internal camp operations, including:

  • Ensuring medical safety, allergy awareness, and proper care for all participants.
  • Processing session enrollments, facility rentals, and donation receipts.
  • Sending important registration deadlines, session updates, and emergency alerts.
  • Providing opt-in email communications and annual impact updates.

4. Photography & Media Release

Hiram House Camp periodically captures photographs and video recordings of camp activities for archival, educational, and promotional purposes. Photography releases are managed during the enrollment process via CampBrain. Families may update media opt-out preferences by contacting the Camp Office.

5. Information Sharing & Selling Policy

Hiram House Camp does not sell, rent, trade, or lease donor or family contact lists to any third parties. Information is shared only with trusted service partners bound by strict confidentiality agreements to perform essential administrative services on our behalf.
